The 13 Best Apps for the Virtual Professional

When we opened our doors in 1998, we had a seemingly outlandish dream that included a completely virtual working environment.

Doing so challenged us to create a culture of collaboration and innovation with team members working as close as the same conference room table or as far away as across the country. This forced our team to find creative ways to keep us all connected, communicating clearly and on task with our growing list of client engagements.

The key to successfully growing a completely virtual company is having the right tools that allow our employees to remain on the grid and connected no matter where they are.  Aware equips all our team members with the latest iPhones and encourages them to stretch their mobile devices in order to extend their virtual workplace beyond their PCs. As a company we have found a handful of must have mobile apps which do exactly that - allow us to switch from mobile to desktop working-mode in a matter of seconds.

1. Splashtop Remote Desktop gives you access to all your apps and data from anywhere at any time by providing you with remote access to your PC or MAC programs, content and files through a Wi-Fi connection or 3G/4G networks. This app operates well through several devices including iPhone, iPad, iPod Touch, and Kindle, which makes it a great option when you need access to applications you cannot normally run on certain devices. This app keeps your work at your mobile fingertips, and we love that it allows you to give presentations with full video and audio so your audience remains engaged! ($4.99)

2. TurboScan makes scanning documents and converting them into high-quality PDFs as simple as taking a photo with your iPhone or iPad. You can also use the SureScan 3X mode which lets you take three pictures of the document and the app will combine the data from the photos to make one composite picture. Once you have your documents scanned, you can easily access them through Dropbox, SkyDrive, Google Drive or Evernote - just to name a few. This method of scanning definitely tops the old fashioned option! ($1.99)

3. Evernote seamlessly keeps you connected across all of your devices. We have deemed this a “must-have app” because of its ability to let you easily create, search and store notes, to-do lists, voice reminders and photos. Evernote can be synced to various other apps (many on this list), and you can share everything via social media with a simple click. It even allows you to search for text within images! (Free)

4. MyScript Memo turns handwritten notes from your iPhone or iPad into text you can share via Evernote, social media, email or by quickly copying and pasting to any other application. It even gives you the option to spice up your notes with charts, graphs and drawings, which is great for those who love a good doodle to further explain their thought process. The fact that these notes can be easily organized as well could make this your first step to eliminating paper notes! (Free)

5. Dropbox is a great document storage and sharing app that lets you easily access files from any device and can be downloaded on iPhone, iPad and iPod Touch. The great thing is that you can also access your stored documents at any time from the Dropbox website, and using this app will quickly free up a significant amount of storage space! (Free)

6. Linkedin is the best way to stay connected with your business network! This handy app can be downloaded on to your iPhone and iPad and gives you constant access to your rolodex. The latest version of this app has an enhanced navigation feature that is personalized through you daily LinkedIn usage. (Free)

7. Toodledo is the best “to do” app we’ve seen for iPhone and iPad! With this powerful app you can easily micromanage everything from small task to large-scale projects. We love the “Hotlist” feature that automatically files to do list based on a mathematical formula! How is that for prioritizing?! (Free)

8. Microsoft Office Mobile is the official Office companion for your iPhone and iPad. It allows you to access and edit Word, Excel and PowerPoint documents from anywhere. Now you can work on documents from wherever you choose without the worry of losing the original formatting! (Free)

9. Microsoft Lync 2013 lets you extend work conversations through video, voice, instant messaging, and conferencing to your iPhone. We love how this app keeps us connected to our virtual co-workers on the go! (Free)

10. SharePlus: SharePoint Mobile Client is a secure app for your iPhone that allows you to browse your SharePoint content from wherever you may be. If you want the true experience of working virtually, this is an app you will want to download now! ($19.99)

11. Yammer connects with your company Yammer account and lets you take your social network anywhere. It allows you to collaborate and share ideas in real time no matter where you are. Yammer is our virtual water cooler where team members congratulate each other on personal and professional accomplishments, share photos from team gatherings and announce exciting news. (Free)

12. Weave is a project management tool for iPhone that helps you keep focused on the right task. It allows you to easily collaborate on projects, add teammates, assign to-do lists, establish checkpoints and due dates and even lets you be the lead PM of your day-to-day activities as well. Weave will quickly become your new best friend! (Free)

13. Zite is a news-driven magazine that learns what you like and delivers what you want to read from your favorite magazines, bloggers, newspapers and videos. We love the category feature which gathers articles for you based on search terms you choose. If you want to remain connected to all that’s going on within the world, this is the app for you! (Free)

Utilizing apps on your mobile devices is an easy way to take your virtual workspace just about anywhere, and hopefully these new apps will take your virtual working experience to even more places!
